Part of Process automation.

CRM automation.
Connected customer data.

The customer has one story.
Your tools should
tell the same one.

We connect your CRM, the system you use to manage customers, with your other business tools. Customer details reach the right place, and each next step has someone responsible for it.

A contact appears twice. Accounting has the old address. A new enquiry sits waiting because nobody knows who should reply.

01 / Where it helps

What can CRM automation
take off your team’s hands?

Start with one missed follow-up or conflicting customer detail. That often means preserving the right language, region and account owner as work moves between tools.

01

Give each enquiry an owner

Check whether the customer is already in your CRM, then assign the enquiry by your team’s service, language and territory rules.

A repeat enquiry should not create a duplicate contact.

02

Connect sales and accounting

Pass agreed customer details to accounting and bring invoice updates back to the CRM. We can explore a connection such as HubSpot and bexio.

Your accounting tool remains in charge of invoice status.

03

Put support in context

Give the person handling a support issue the customer and contract details they need, with a clear route to the account owner.

Your sales team still decides any change to the sales pipeline.

These are examples of possible projects. We agree the tools, access and checks with you before building.

02 / How it could work

A customer changes address.
Which tools need to know?

In this example, an approved address change moves from the CRM to accounting. We agree which tool is allowed to change each detail before connecting them.

  1. 01

    Receive

A customer record changes in the CRM.

  2. 02

    Match

Find the same customer in accounting.

  3. 03

    Compare

Check which details the CRM may change.

  4. 04

    Update

    Send the agreed address details.

  5. 05

    Check

Confirm the right customer was updated.

Two similar names do not always mean the same customer.

We send uncertain matches and conflicting preferences to a person before merging records. If old records need cleaning up, we agree how to review the changes and correct mistakes.

Your team should be able to see which records changed and whether the update reached the right place.

03 / Planning the first version

Agree where each
customer detail belongs.

A newer value is not always the right one. We work with sales and finance to decide which tool keeps the final version of each detail.

Example rules for a CRM and accounting connection
Customer detailA possible rule
Customer identityUse a lasting customer reference. Review uncertain matches before merging.
Sales owner and stageSales manages these in the CRM.
Invoice and payment statusAccounting manages these. The CRM shows the agreed updates.
Contact preferencesKeep opt-outs in place across the tools and review conflicts.
Language and regionKeep the customer’s preference with the record as work changes hands.
05 / How we work together

Get the records right
before connecting them.

We agree what the first version should do, how to check it and who will look after it. Then we work through it with your team.

  1. 01

    Agree what each tool owns.

We list the customer details to share, how to match records and which tool may make each change.

  2. 02

    Try examples from your data.

We test clean records, duplicates, missing details and conflicting updates before changing live customer information.

  3. 03

    Plan the move.

If existing records need updating, we agree how much history to include, what to check and how to correct mistakes.

  4. 04

    Check the result together.

We compare records in both tools, explain anything skipped or rejected, and show your team how to handle future problems.

06 / Access and upkeep

Customer information
your team can rely on.

Match with care.

Names and email addresses change. We agree a lasting way to identify the same customer and review cases where the match is unclear.

Show disagreements.

If two tools hold different details, your team needs to know which should win and why. We agree that rule rather than simply keeping the latest edit.

Respect contact preferences.

An opt-out needs to survive an update between tools. We agree how preferences are shared and how conflicting records are reviewed.

Keep changes manageable.

A new CRM field or sales process can affect the connection. We agree who checks those changes and keeps the setup current.

07 / Questions before you start

CRM automation questions.

What does a first project cost?

First projects start from CHF 4,800. We agree which records and tools to connect, including any cleanup needed. Scope, timing and software or support costs are confirmed before the build. A workflow means one complete business task, or a connected set of tasks, automated from start to finish. It may take several n8n workflows, other tools or pieces of code to deliver that result.

Which tool should hold the final version of a detail?

It depends on the detail. Sales may manage the deal stage in the CRM while finance manages invoice status in accounting. We agree these rules with the people responsible.

How do you avoid duplicate customers?

We use a lasting reference where the tools support one and agree how to match older records. Uncertain matches go to a person before records are merged.

What if both tools change the same record?

We follow the agreed rule for that detail and make conflicts visible. The latest edit only wins if that is what your business has decided.

Can you connect HubSpot with bexio?

We can assess that connection. We check the details you need to share, what your accounts allow and any subscription requirements before confirming the build.

What about old records and failed updates?

We agree how much history to include and test a sample first. Records that are skipped, rejected or in conflict remain visible for someone to resolve.

Will contact preferences stay intact?

We agree which tool manages them and how they reach the others. Updating a record must not turn an opt-out into permission to contact someone.

Can our team see and fix problems?

We agree how to show changes, link to the affected records and explain what needs attention. The handover covers who can correct each type of problem.

Which customer detail
keeps getting lost?

Tell us which tools disagree or where a follow-up gets missed. We’ll help you find a practical first connection.
